Policy for Public Use of the Shelton Room
1. The Shelton Room is available for the use
of educational, cultural, civic, religious, business and governmental
groups to conduct occasional meetings. Trade or professional associations
will be considered educational groups.
2. The use of the Shelton Room
for commercial meetings will not be permitted. Profit-making organizations
sponsoring an educational program of a non-profit nature will
be permitted to use this room, provided the meetings are open
freely to the general public.
3. The use of the Shelton Room
will be limited to meetings for which no admission charge is made,
except for meetings and exhibitions sponsored by the library or
a non-profit educational group or institution for short-term classes
(no more than one class meeting per week), institutes, discussion
groups and forums. Any exceptions to this policy will be left
up to the discretion of the Branch Librarian.
4. Bookings for use of the Shelton
Room should be arranged with the Branch Librarian or designated
staff person at least 24 hours in advance and not more than three
months in advance. If library equipment (such as audiovisual equipment,
markerboard, etc.) will be needed, the person reserving the room
must mark the equipment on the application form. You will need
to pick up any equipment you need from a library staff member.
Reservations are taken on a first-come, first-served basis. Library
sponsored programs and events shall have priority. Reservations
will not be accepted for a series of meetings of long duration,
such as the second Wednesday of each month.
5. If the meeting will be held
when the library is not open or before regular library hours,
the person reserving the Shelton Room may pick up the room key
no more than two days before the scheduled meeting time. They
will be asked to sign for the key when they pick it up and when
they return it. The key must be returned to a library staff member
the next day the library is open.
6. The person or organization
should keep in mind the amount of time it will take to set up
the room when determining the date and time of the reservation.
If the library’s audiovisual equipment is needed, the person
or organization must provide a person fully capable of operating
the equipment. If the person or organization will be using any
media, they are responsible for obtaining the necessary permission
from the copyright owner of the media. The library is not responsible
for providing this.
7. The person or organization
reserving the Shelton Room should be an adult representative of
the group (age 18 or over) as they will be held responsible, on
the day of use, for leaving the room in a clean and orderly condition.
Groups or organizations holding meetings assume all responsibility
for setting up and removing tables, chairs and other furniture
and equipment. The room should be cleaned after use, including
cleaning tables and countertops and any dishes that were used,
as well as picking up any trash on the floor and taking out the
garbage. The person who reserved the room will be responsible
for any damage to library equipment and facilities during their
meeting.
8. Persons or organizations
using the Shelton Room will be responsible for handling their
own exhibits and equipment, and will do so at their own risk.
The library does not accept responsibility for theft or damage
to property brought into the building.
9. Programs conducted and exhibits
placed in the Shelton Room may not disrupt the use of the library
by other patrons. Persons attending the meeting are subject to
all library rules and regulations.
10. Smoking and alcoholic beverages
are prohibited in all areas of the library building, including
the Shelton Room and the restrooms.
11. The capacity of the Shelton
Room is one hundred (100) persons.
12. Granting of permission to
use library facilities does not constitute an endorsement of the
user or its beliefs by the Library staff or the Board of Directors.
Also, neither the name nor the address or phone number of the
Library may be used as the official address or contact information
for an individual or organization.
13. Any person or organization
that does not abide by the above policies is subject to lose the
privilege of using the Shelton Room in the future.
14. Only the Library Board of
Trustees can revise regulations governing the public use of the
Shelton Room.
