| REGULATIONS
FOR PUBLIC USE OF THE
DANBURY PUBLIC LIBRARY MEETING ROOM
A. USE OF THE DANBURY LIBRARY MEETING ROOM
1. The meeting room of the library is for the use of educational,
cultural, civic, governmental, and religious groups to conduct non-profit
meetings and conferences. Trade or professional associations will
be considered to be educational groups. NO RENTAL FEE IS CHARGED
FOR THESE TYPES OF GROUPS.
Use of the meeting room for social events or by private parties
is subject to a rental fee. (See section C.)
2. The
use of the meeting room for commercial purposes will not be permitted
except that profit-making organizations sponsoring an educational
program of a non-profit nature will be permitted. There will be
a rental fee for such meetings.
3. Partisan
political groups may be allowed use of the meeting room, subject
to approval by the Head Librarian and/or the Board of Trustees.
Priority may be given to local political organizations or groups.
Use of the room by individual political candidates will be subject
to private rental fees. (See section C.)
B.
ROOM RESERVATIONS/BOOKINGS
1. Arrangements for the use of the meeting room should be made at
least twenty-four (24) hours in advance of the opening hour of the
meeting, subject to approval by the Head Librarian. The meeting
room will be booked on a first-come-first served basis. Any standing
reservations must be cleared with and approved by the Head Librarian.
Should a meeting conflict with a library function; library use takes
precedence.

SCHEDULE OF RENTAL FEE
The Board
of Trustees has final discretion of approving rental requests. Rental
fees for the use of the meeting room by private groups or individuals
will be charged on the following schedule:
$25.00
during evening hours and weekends.
A $25.00
deposit in addition to the rental fee is required at the time the
room key is picked up. The rental fee and the deposit may be paid
when the reservation form is completed at least twenty-four (24)
hours prior to the opening of hour of the event. The deposit will
be returned when the key is returned if the room is in order. Checks
for the deposit and the rental fee should be made in two (2) separate
amounts of $25.00. The separate checks facilitate the return of
the deposit. Returned checks are subject to a $20.00 service charge.
Cash is also accepted.
D. RESPONSIBILITIES OF MEETING ROOM USERS:
The
person or organization that reserves the meeting room is responsible
for all invited quests. Possessing or consuming alcoholic beverages
or use of tobacco products are not allowed in the Danbury Public
Library.
The person
or organization that reserves the meeting room is responsible for
setting up the room: arrangement of tables, chairs, etc. Care must
be taken when the tables or podium are moved to protect the floor
from being scarred or marked in any way.
After
the room is used, the responsible party must see that the room is
restored to the condition in which it was originally found. The
person(s) using the room must provide trash bags and is responsible
for the removal of all trash from the premises. In addition, the
person(s) is responsible for cleaning up any spills, etc. The library
does NOT provide cleaning materials other than brooms and mops which
are located in the storeroom of the meeting room.
The person
or group using the room will be responsible for any damages to library
property and will be asked to pay for the cost of any additional
maintenance service caused by misuse of the meeting room.
Groups
using the meeting room are responsible for handling their own exhibits
and equipment and will do so at their own risk. The library does
not accept responsibility for theft or damage to property brought
into the building.
E.
DENIAL OF MEETING ROOM USE
The Board
of Trustees reserves the right to deny use of the Danbury Public
Library meeting room to any person or organization that does not
abide by the above regulations.
F. REVISION
Only
the Board of Trustees of the Danbury Public Library can revise regulations
governing the public use of the Danbury Public Library meeting room.
